Automation & Smart Rules

Automate scanning, pricing, listing refresh, and consolidation with RocketVault's built-in smart rules and configuration options.

Overview

RocketVault is designed to minimize manual work. From AI-driven card scanning to automatic stale-listing refresh, most of the heavy lifting happens without your intervention. This guide covers what's automated and where to tune the behavior.

When you upload a card, the following happens automatically:

  1. Image upload → Stored securely in GCS.
  2. AI identification → Gemini Vision extracts player, year, set, card number, parallel, and condition.
  3. Card database matching → Matched against the RocketVault catalog (millions of cards).
  4. Parallel detection → Visual + OCR signals combined into a confidence score.
  5. Pricing → Market price pulled from RocketVault Pricing.
  6. Status assignmentREADY_FOR_LISTING (high confidence, low value), READY_HIGH_VALUE ($50+ or whatever you set), or Needs Attention chip on the Available tab if confidence is below threshold.

You don't trigger any of these steps — they happen automatically within seconds of upload.

Configurable Automation

Pricing on upload

Adjust under Settings → Pricing:

  • Use RocketVault database pricing — Toggle the primary pricing source.
  • Fallback to rule-based — When market data is missing, fall back to multiplier-based pricing (rookie / autograph / relic / graded multipliers).
  • Sport multipliers — Per-sport adjustments for cross-sport demand differences.

Review thresholds

Configure in Settings → Advanced → Review triggers:

  • Auto-Apply Threshold (default 0.85) — Confidence required to auto-apply parallel detection.
  • Review Threshold (default 0.50) — Below this, the card always lands on Needs Attention.
  • High Value Review Threshold (default $50) — Cards at or above this price route to high-value review regardless of confidence.
  • Auto-Confirm High-Confidence Parallels — If on, parallel-bearing cards that clear all gates auto-confirm without review.
  • Auto-Confirm Soft-Warning Threshold (default $25) — Cards in the $25–$50 band auto-confirm but get a softer "spot-check me" badge.
  • Missing-field rules — Force review if player or set can't be identified, or if a serial is detected without a number.

Balancing Speed and Accuracy

Lower thresholds = more cards through automatically (faster), but more risk of misidentification. Higher thresholds catch more issues but require more manual review. Defaults are tuned for typical sellers; tighten them if you trade high-end.

Listing description automation

Under Settings → Listing:

  • Description StyleStructured (consistent table per card) or AI Enhanced (Gemini-generated prose, falls back to structured if generation fails).
  • Tone — Professional / Casual / Enthusiastic.
  • Use Emojis — Off by default. Adds emojis to AI-generated titles and descriptions only.
  • Description Details — Toggle which card fields appear in the description (player, sport, set, card number, parallel, insert, serial, attributes, grading, condition).

Refreshing stale listings

Listing refresh is click-driven — you choose when listings get touched. The Refresh action (the Refresh tab on the Cards page, the bulk toolbar, or a listing's detail banner) opens one dialog where you pick soft or hard refresh, which attributes to update (title, item specifics, price), and the price drop for the run — pre-filled from your saved default in Settings. Eligible listings are flagged automatically: 0 views in the last 30 days, age ≥ 14 days. Per-tier daily caps apply.

Listing sync

Tier-gated cadence for pulling sold orders + active listing status from eBay (Settings → Connections → eBay → Listing Sync Interval).

Sync Now is always available regardless of tier. Each sync runs in batches (one paginated orders fetch + one active-listings fetch), so faster cadences don't multiply per-listing API calls.

Shipping rule by card price

A built-in rule on Settings → Connections → eBay → Shipping rule by card price picks the right shipping service automatically based on each card's listing price (e.g. envelope under $20, priority $20+). The rule activates only when every required field is filled — threshold price, under-service, under-cost, over-service, over-cost. Either branch can be Free via a dedicated toggle.

Bulk Automation

For batch operations on existing cards, the Cards page action bar exposes:

  • Bulk Refresh Pricing — Update prices for hundreds of cards at once.
  • Bulk Reprocess — Re-run AI identification on selected cards (useful after accuracy improvements).
  • Bulk Status Change — Move cards between statuses in bulk.
  • Consolidate Duplicates — Merge duplicate scans of the same physical card. Available on Collector and above.
  • Bulk Publish — Publish selected cards to eBay. Guard blocks the action if any selected card is missing required fields; the banner lists what to fix.

Workflow Tips

Note

For maximum efficiency:

  1. Upload in batches — ZIP files are fastest.
  2. Let auto-pricing run on upload.
  3. Once a day, filter to Needs Attention on the Available tab and clear the chip.
  4. Use bulk operations for pricing refreshes and reprocessing.
  5. Once a week, open the Refresh tab and run the refresh dialog on anything stale so dormant listings rotate.
  6. Let RocketAI generate listings, review, then bulk-publish.

This workflow can process hundreds of cards a week with minimal manual effort.
